Depositor portal: your customer checks stock, balance and billing
Stock, balance as of a date, movements, load sheets, stock counts and billing in permission-based tabs, under your warehouse’s brand — and the balance delivered by scheduled e-mail on cut-off day.
BrainCargo’s Depositor Portal is the 3PL warehouse’s self-service channel: each warehouse client checks its own stock without asking by e-mail. The login is bound to one depositor and the tabs follow each user’s permission — stock (in, out, on hand and available), balance as of a date, movements, inbound and outbound movements with load sheets, stock counts with discrepancies and reasons, and billing (only recorded closings and the statements and e-mails sent and received). The portal carries the warehouse’s brand (“powered by BrainCargo”), and the balance can go out by scheduled e-mail on the configured cut-off day and time, to up to 10 recipients, with a CSV attachment and the warehouse’s own Reply-To. On security, another depositor’s resource returns 404, an unreleased tab returns 403, revocation is immediate and everything is logged for 12 months. The warehouse stops hand-building reports — and the depositor stops waiting.
Every 3PL warehouse knows the routine: the depositor (the cargo owner who stores goods in the warehouse) asks for “my balance”, someone stops what they’re doing, builds a spreadsheet and e-mails it. BrainCargo’s Depositor Portal gives that time back: each warehouse client looks up what it needs on its own, in the tabs you released to it.
The login is bound to one depositor and the tabs follow permission: stock (in, out, on hand and available), balance as of a date, movements, inbound and outbound movements with load sheets, stock counts with discrepancies and reasons, and billing — only recorded closings and the statements and e-mails sent and received. The portal carries the warehouse’s brand, with a “powered by BrainCargo” badge: the relationship is yours.
For those who prefer receiving to looking up, the scheduled e-mail sends the balance on the configured cut-off day and time, to up to 10 recipients, with a CSV attachment and the warehouse’s Reply-To. It is the self-service layer of the warehouse-management WMS.

WMS family
Warehouse, cross dock and client in one system
The same WMS stores depositors’ inventory and runs cross-dock cargo — with role-based access; the storage depositor checks their stock and closing in the portal.
- WMS for 3PL warehouses Receiving via the NF-e XML, scan-based addressing, checked FEFO picking and cycle counting, with inventory segregated per depositor.
- new Cross docking system Mixed trailer → blind receiving by volume → one pallet per invoice → load checked by scan, with a PDF load sheet.
- Blind receiving The team counts what arrived without seeing the invoice; the difference appears at closing, and shortage, overage and damage go to the supervisor’s queue — a photo can be attached to damage.
- you are here Depositor portal The warehouse’s client checks balance, movement statement and the month’s closing on its own, under your warehouse’s brand.
- Storage billing The month’s inventory becomes a per-contract closing for each depositor — no parallel spreadsheet.
- WMS for logistics operators Several clients in the same warehouse, role-based access, Zebra labels and reports under the warehouse’s brand.
Frequently asked questions
What does the depositor see in the portal?
It depends on the permission released to the user. The tabs cover stock (in, out, on hand and available), balance as of a date, movements, inbound and outbound movements with load sheets, stock counts with discrepancies and reasons, and billing — with only recorded closings and the statements and e-mails sent and received.
Whose brand is on the portal?
The warehouse’s. The portal carries your brand, with a “powered by BrainCargo” badge — to the depositor, it is a service of the warehouse itself.
How does the scheduled balance e-mail work?
You set the cut-off day and the sending time. The balance goes out by e-mail to up to 10 recipients, with a CSV attachment and the warehouse’s Reply-To — replies come back to you, not to the system.
Can one depositor see another’s data?
No. The login is bound to one depositor: an attempt to reach someone else’s resource returns 404 (as if it didn’t exist) and a tab not released to that user returns 403. Each one sees only its own.
How do I revoke a user’s access?
Revocation is immediate — no waiting window. And every access is logged for 12 months, so you can audit who saw what and when.
What appears in the billing tab?
Only recorded closings and the statements and e-mails sent and received — the portal does not expose open (unclosed) billing. For the full storage closing, see Storage Billing.
